ExactFlow Return Page User Guide

The Return Page in the ExactFlow app is where you can manage customer returns. This page lets you view and process returns, check their statuses, and take actions like issuing refunds or reviewing return details.

How to Open the Return Page

  • Log in to your ExactFlow account.

  • From the left sidebar, click on Orders.

  • Then, select Returns.

  • The Return Page will open.

Top Section Overview

Left Side Bar

  • + Add Return: Use this button to manually create a new return for a customer.

  • Under the + Add Return button, you'll find options that help you filter and categorize the returns. Here's what each of these options does:

    • All: Selecting All will show every return in the system, regardless of its current status. It’s useful when you want to see the entire list of returns at once.

    • New: This option filters the returns to show only those that are marked as New. These are returns that have just been initiated and are awaiting processing or approval.

    • Received: Returns are those that have been received by your system but are still pending any further action (e.g., inspection or approval). This filter helps you quickly view returns that have entered your system but haven't yet been fully processed.

    • In Progress: Selecting In Progress will show all returns that are currently being worked on, whether that means the return is being reviewed or waiting on some action (like a refund, replacement, or review).

    • Completed: This filter shows all returns that have been completed, meaning the return process has been fully finished. This may include items that have been refunded, replaced, or resolved in some way.

    • Rejected: The Rejected filter shows returns that have been denied or rejected for some reason, such as failure to meet return criteria or issues with the return process.

  • Use Archive for storing completed or inactive returns.

  • Use Bin for temporarily deleting returns, with the option for recovery.

  • Use Add Status to create custom return statuses that suit your specific workflow.

Return Summary Cards

At the top of the page, you'll see several summary cards that give you quick insights into the return status:

  • Pending: Returns that are waiting to be processed.

  • Completed: Returns that have been fully processed.

  • Refunded: Returns that have been refunded to the customer.

  • Failed: Returns that failed processing.

  • These cards help you quickly understand the status of all returns.

Filter Returns

You can filter and search for specific returns based on various criteria. Here’s how to use the filter options:

  • Click the "Returns Filtering" button on the top right of the page.

  • The filter panel will open.

  • You can use the following fields to filter your returns:

  • Return ID: Search by the unique ID of each return.

  • Return Date (From/To): Filter returns within a specific date range.

  • Status Date (From/To): Filter by the date range of the return status.

  • Customer Name: Search by the customer's name.

  • E-mail: Filter returns based on the customer's email.

  • Phone Number: Filter by the customer's phone number.

  • Order Source: Select the platform or source where the order originated (e.g., Shopify).

  • Payment Status: Filter by the payment status of the return (Paid or Unpaid).

  • Currency: Filter by the currency used in the order.

  • Total Price (From/To): Filter returns based on the total price (e.g., above or below a certain amount).

  • Shipping Price (From/To): Filter by the shipping cost for the return.

  • Product Name/EAN/Serial Number/SKU: Filter based on specific products included in the return.

  • Fulfillment: Filter by the fulfillment status (e.g., Completed, Rejected).

  • Additional Field: Filter by any additional field in your return record.

  • Refund Status: Filter by the refund status of the return.

  • Comment: Filter by any customer comments associated with the return.

  • Star: Filter by the star color of the return.

  • Once you've selected your filters:

  • Click "Set Filters" to apply them.

  • Click "Clear Filters" to remove all applied filters and show all returns.

  • Click "Saved Filters" If you want to use these filters again in the future:

    • From the dropdown, choose Create New View to save your filter settings. Name your saved view for future reference.

    • Use the Manage Views option from the dropdown to edit or delete your saved filter views.

  • These filters allow you to easily narrow down the returns based on what you’re looking for.

Return Table (Main List)

This is where all your return records are displayed.

Selection Checkbox: You can select one or more returns to take bulk actions (like archiving or processing multiple returns).

Return ID: The Return ID is the unique identifier for each return. Clicking on the ID will open full details for that return.

Buyer Details:

  • Customer Name: The name of the customer making the return.

  • Email: The customer’s email address.

  • Phone Number: The customer’s contact number.

Items: This column shows the items that are part of the return, including product names and quantities.

Total Amount: The Total Amount column shows the total value of the return (in your local currency).

Payment Status: Shows whether the return is Paid or Unpaid. An unpaid return may require further processing.

Date: The Date column displays when the return was created.

Action Column: The Action column shows three dots (⋮) for each return. Click on the dots to see edit or delete options for processing or taking further actions on that return.

Bulk Actions (Top of Table)

Above the table, you can use icons to:

  • Select multiple returns: Check the boxes next to multiple returns.

  • Perform bulk actions: Depending on your permissions, you can process, approve, or take actions on multiple returns at once. You can mark any star, print and export, flag, and delete them.

Pagination (Bottom of Page)

  • Rows per Page: Choose how many returns you want to display per page (default is 10 returns per page).

  • Page Navigation: Navigate through pages using the arrows at the bottom of the page. The page navigation shows the current page and the total number of returns.
